Calendar instructions > Creating a calendar
1. It is useful to name the calendar so that purpose of
use is stated in the name. It is then better to follow calendars in Optima
environments that may include several calendars.
2. Default access
rights for calendar items are defined when creating the calendar. If you choose
"Defaul public", all the calendar items are by default public: everybody who
has access to the calendar will have access to calendat items also. If you
leave this option unchosen, all the items in calendar will be by default
private: only the user creating the item will see it. This option however only
defines the default setting for items. All users creating items into the
calendar can change this option if they wish. The setting only defines the
default value.
3. In calendar read access means that user sees calendar
in the left frame and can see public items in it. Write access also gives the
right to add items into the calendar. Only owner can modify calendar settings
and access rights.

Opening the calendar divides the Optima main frame into
two frames. The upper frame will always show the month view and the following
functions
1) All items
2) Select users
3) Export calendar
information
In the lower frame the weekly and daily views are shown and
items are added.
Calendar instructions > Viewing month
From the monthly view you can load weekly or daily
views to the lower frame by clicking the number of the week or the date. Days
that include items are shown in green and bold.
You can move to the next
or previous month by clicking the arrows on the sides of the month
name.
With function "All items for this month" you can list all the
items of the month with the user information to the lower frame.
With
function "Select users" you can view only the items made by selected users.
Click the function and choose from the list the users' whose items you wish to
see. After this all the views in the calendar will contain only the items made
by selected users. To return to all users view click the calendar again in the
left frame.
With function "Export calendar information to your computer"
you can save the calendar information into a iCalendar-file (.ics) that can be
imported to calendar programs that can handle iCalendar-files.
Calendar instructions > Viewing day
In the dayview you will see the items added to this
day. Take the mouse pointer above an item and you will see the description for
it. Click the mouse button and the item with all the information will be opened
in a separate window.
If the user has rights to add items to calendar,
this can be done by clicking the link "Add an item" in the dayview or by
clicking a certain time of the day in the left column of the dayview table.
When using the latter option the starting time for an item will be
automatically added.
You can move to the next or previous day by
clicking the arrows on the sides of the date.. You can jump directly to the
week view by clicking the week icon in the upper left corner of the day
view.

When you open calendar the weekview of current date
will be loaded to lower frame. You can always enter the weekview by clicking
the week number in the month view in the upper frame or by clicking the week
icon in the upper left corner of the day view.
Take the mouse pointer
above an item and you will see the description for it. Click the mouse button
and the item with all the information will be opened in a separate
window.
If the user has rights to add items to calendar, this can be
done by clicking directly the date and time of the new item in the week view
table. The starting time for an item will be automatically added.
Calendar instructions > Adding items
There are several ways of adding items to calendar.
Adding new items is always done in the lower frame.
In the day view an
item is added from "Add an item" -link or by clicking the wished time in the
left column of dayview table. When adding an item directly to the table, the
starting time is set automatically.
In the weekview an item is added by
clicking the date and time directly in the weekview table.
The following
thing are defined when creating an item:
Subject: give items
informative names (this text is shown in the dayview and in the
weekview)
Description: more accurate information about the item
Visibility: choose whether the item is public (visible to all)
or private (visible to the item creator only).
All day : choose
this if the item has no specific time. Items marked "All day" will be shown at
the beginning of the day.
Start: Date and time when item starts
End: Date and time when item ends. If no date is given, Optima
will assume the date is the same as in start. If no time is given, the item
will be saved with only starting time.
Reminder: You can give
reminders for items if you wish. Choose "Mail reminder" if you wish to send a
notification of calendar item by mail reminder. Choose "Announcement" if you
wish to notify with an announcement that will be shown when logging into
Optima. Define also the date when mail reminder will be sent or announcement
shown.
Calendar instructions > Editing and removing items
You can edit or remove calendar items by opening them
normally. If you have the rights to edit or remove the item, you will see links
"Edit" and "Remove" in the item window.
By clicking "Edit" you will open
the item in edit mode. Set the changes you wish to and click "Proceed" to save
changes. By clicking "Remove" you will get a page where you confirm removing by
ticking the box and clicking "Proceed".
